Event Coordinator
Puck is seeking a detail-oriented and dynamic Event Coordinator to join our marketing team. This role will be instrumental in planning, executing, and managing high-quality events that reflect our brand's commitment to delivering premium news and analysis. The ideal candidate will bring strong organizational skills, vendor management expertise, and the ability to thrive in a fast-paced media environment.
This role is located out of Puck's New York City headquarters. Candidates must be able to work in the office a minimum of 3 days per week, when not traveling. Remote candidates will not be considered.
Primary Responsibilities:
- Support all logistical aspects of events from initial concept through execution, including venue selection, catering, AV, print signage, and production coordination
- Support development of comprehensive event timelines and run-of-show documents to ensure seamless execution
- Track expenses within event budgets and ensure cost-efficiency without compromising quality
- Identify, select, and negotiate with vendors including venues, caterers, AV companies, print vendors, florists, and other service providers
- Manage vendor relationships and contracts to ensure deliverables meet expectations and deadlines
- Manage internal project decks and documents, ensuring notes and updates disseminate to XFN teams in a timely manner
- Create and manage Splash pages
- Work closely with Director of Events and cross-functional teams including marketing, editorial, and leadership to align events with Puck’s branding and messaging
- Manage on-site logistics, staff coordination, and real-time troubleshooting during events
- Maintain vendor and venue trackers, and consistently stay on top of new venues in Puck’s key markets

- Flexibility: Willingness to work evenings and weekends as required for events. This role requires 15-25% travel.
Qualifications:
- 2-3 years experience planning events in media, tech, or at an agency
- Familiarity with high-profile guest management and executive-level events
Salary, Perks & Benefits:
- The salary range for this role is $65,000 – $80,000, but the final offer amount is dependent on incumbent’s relevant experience, skill-level, and location
